Start with your company’s rules

Whether a company meeting may be sent to an outside AI service depends on the company. Some forbid uploading work material to outside clouds or generative AI, or allow only approved services. If your security team has guidance, it comes first.

Client meetings also put the other company’s material and prices on the recording, so check whether a confidentiality agreement applies.

Tell attendees about the recording

Say you are recording when the meeting starts, and mention that AI will help write the minutes; it avoids misunderstandings later. The legal side of recording can differ by situation, so ask your company’s legal team or an expert when needed.

Check what goes where, and when

AI minutes services usually use outside AI in two steps: turning audio into text (speech recognition) and writing minutes from that text. The two steps may go to different companies. Check:

Check export and deletion

Minutes you can export as a file stay with you if you stop using the service. Also check that when an attendee asks to be removed, their name and utterances can be deleted in one step.

Be careful with features that rate people

Scoring attendees on how much they talked or how they behaved creates an evaluation the recorded person never agreed to, and it strains client relationships. Keep numbers about the meeting itself (was there a conclusion, were promises kept) apart from numbers about people.
